The goal of the event determines the program. Are you summing up the year, rewarding employees, or giving the team a chance to relax and socialize? The formal part requires a stage, screen, sound, and rehearsal. This changes the scope of work and the budget, so lock in the objective first.
Describe guests in general terms: employees from one office or visiting colleagues, approximate number, catering and accessibility requirements. Personal lists and medical details are not needed for the initial estimate.
A short request looks like this:

- Budget limit and expenses that the company pays directly.

Ask for a separate list of exclusions. Gifts, equipment delivery, and additional working hours are often hidden there. An empty line next to transfer is ambiguous: is the service not needed, not priced, or paid directly? We answer such questions directly, and you should expect the same from any contractor.

State the budget limit and what it includes. Divide the money into agency services and direct payments: venue rental can be a separate contract, as can fees for celebrity guests.
If the number of guests is not yet known, ask to show which items will be recalculated after the list is confirmed. Catering usually depends on the number of participants, and the technical team depends on the tasks and working hours.
Set priorities. Mark what is mandatory: for example, an award ceremony requires a screen and microphones. Then list what the company is willing to give up. Discuss decorative additions after calculating the mandatory part.
Plan the reserve for specific risks: extending the rental, a growing guest list, additional transport. A universal percentage does not explain the expenses. Agree on who authorizes spending the reserve and how you will learn about changes in the amount.
Taxes and fees are checked by the employee who approves the budget. The proposal must clearly show whether they are included in the total.
Budget: how to state the amount
Estimates are comparable when agencies have received the same brief. Request an editable spreadsheet. Each line should include: description, quantity, unit of calculation, rate, amount. The agency fee and included fees should be shown separately.
Verification procedure:
- Check the initial data: date, venue, number of guests, duration. Different versions of the brief produce incomparable figures.
- Check rental and equipment. Are installation, dismantling, delivery, and specialist time included? Where does the paid time end?
- Clarify catering and the program. Who feeds the team, and are artists' riders and additional hours included?
- Collect the full total: add the company's direct contracts and recalculation terms.

How to check the estimate and compare offers?
Compare the contract with the latest version of the estimate. The appendices must not contain an earlier version that you have already revised in correspondence. Check the names of the parties, event date, venue and list of works.
Read the payment procedure and changes to terms before signing. Cancellation of services is governed by Article 782 of the Civil Code of the Russian Federation: the customer may cancel the contract by reimbursing the contractor for actually incurred expenses. Clarify the booking separately. Is the resource offered, temporarily held or confirmed? What document confirms this, and what is needed from you to lock in the date? A picture of the venue in the presentation confirms nothing.
Acceptance of results: what the agency delivers after the event and who accepts the work on the company's side. Have the contract legally reviewed by a lawyer, especially if the document combines different types of obligations.
Contract: what to check before payment
Appoint one person to collect the company's comments and pass an agreed decision to us. This way the contractor works from an approved position, not from conflicting instructions from different departments.
Agree the finished plan with management before bookings are confirmed. Request the performers' technical rider in advance: it lists requirements for the stage, sound, lighting, and dressing rooms.
Record changes in writing. Added a speech by the CEO? Ask for an assessment of the impact on the program and technical setup. The response should contain a cost change or confirmation that the agreed scope covers the task. After the decision, update the master document and mark old versions as outdated.
Before the event, request the working timing and contacts of the responsible persons. It aligns guest arrivals, the official part, service, and preparation. Assign who makes decisions on site if the client is busy with a speech.
After the celebration, check the closing documents against the approved scope. If you find a discrepancy - gather the estimate versions and correspondence; this is the basis for a substantive conversation.
Approval of changes
Start by checking available venues and performers for your date. Tell the agency what can be changed in the order and who can quickly approve a decision. The actual preparation timeline is quoted after resources are checked, not before.
Shorten the internal approval path. Gather the requirements from management, procurement, and finance into one brief before asking for a new version of the proposal.
Agree on acceptable substitutions: shifting the date, simplifying the decor, dropping a complex staged production. Evaluate every compromise against the goal of the celebration. Removing equipment without which the official part cannot take place, simply because it is easier to cut, is false economy.
In the proposal, separate confirmed items from those still being verified. For the latter, a fallback option and an approval procedure are needed. Urgency does not remove the need to check the estimate, the contract, and the approver's authority. We take on urgent projects, but we honestly say what we can and cannot deliver on time.
