Occupational Safety Day in 2026: Program and Stations

Workplace Safety Day can be built as a practical station-based route. We break down the boundaries of the format, the program, shift rotation, roles and metrics.

Workplace Safety Day can easily turn into a long lecture or a set of disconnected activities. At Aventura, we start from something else: what an employee should notice, try or discuss after each station. Then the program comes together as a route, not a catalog of entertainment.

Adapt the proposed scheme to the company's occupational risks, venue and shift schedule. The finished program must be checked by the client's subject-matter specialists.

What is Occupational Safety Day in 2026?

Occupational Safety Day is a corporate event for practicing, discussing risks and collecting employee observations. Participants go through short stations, perform clear actions and discuss solutions with subject matter experts. The main result of the program is questions and actions that the company can verify after the event. The format complements the occupational safety system, but by itself does not replace mandatory procedures.

In 2026, the theme of the World Day for Safety and Health at Work of the International Labour Organization is a healthy psychosocial work environment. The organization classifies psychosocial factors harmful to workers as hazards that must be managed. Therefore, a corporate program can include workload, role distribution, schedules, support and a safe way to report a problem.

We design such a day around the real tasks of the site. For a warehouse, office and production area, different examples, facilitators and routes are needed. Only the logic of the event and the rules of team work can be common.

Goal and Boundaries of the Event

It is better to formulate the goal of the day through an observable action that can be checked at a station. An employee finds a hazard on a training scheme, checks a sample of personal protective equipment, assembles a sequence of first response or composes a clear message about a weak signal. Coverage and impression are important, but they are not enough for a meaningful report and the next decision.

The Labor Code of the Russian Federation imposes on the employer the duties of training in safe methods, first aid, use of personal protective equipment, briefings, internships for established categories and knowledge testing. The procedure for occupational safety training defines certain types of training and requirements for their organization.

Important: Occupational Safety Day does not cancel briefing, training, internship, knowledge testing and paperwork. The employer can use a station element in mandatory training only as part of an approved program and in compliance with all applicable requirements for the organizer, content, instructors, practice, knowledge testing and documentation of results. Participation in the event itself does not create such status.

A route sheet with stamps shows participation in the event. It is not equal to a knowledge testing protocol and does not give permission to work. We fix this boundary in the brief, the texts of the facilitator and the final report.

How to Start Preparing?

We start preparation with a joint briefing with the occupational health and safety service, production, and HR. At the first meeting, we define the main objective, participant groups, and site constraints. Then we select the mechanics and equipment for the stations. This sequence keeps the program within the real risks and capabilities of the enterprise.

For our work, we need five sets of data:

  1. a list of current risks and topics that the company can discuss in the general program;
  2. the composition of participants by roles, departments, languages, and shifts;
  3. areas and equipment that cannot be stopped or opened to guests;
  4. available experts, training stands, mock-ups, and safe samples;
  5. tracking rules: what is recorded as participation in the event and what must be formalized as mandatory training.

First, we create a participant map. We move on to the mechanics later. For operational staff, practice with familiar situations is important. For managers, it is more useful to make decisions based on observations, assign a responsible person and resources. Office employees need their own situations to analyze. Contractors require a separate introduction to the site and its rules.

If you need to bring together the program, routes, technical plan, and the work of facilitators in one project, request an estimate from us. At the start, specify the venue, number of shifts, participant groups, and production constraints.

We publish practical case studies of corporate events in Aventura’s Telegram channel. It features materials about the program, the venue, and working with participants.

Program: a 60-minute route

The 60-minute route works as a starting point for a single work wave and helps test throughput before the rehearsal. This is a draft grid. The length of mandatory training is determined separately. The company changes the number of stations and the pace after checking capacity, transitions, shift composition and the availability of subject-matter experts.

Table. Program: a 60-minute route

The table brings together the key points of the section: Stage, Time, What happens. Use it as a quick reference when preparing the event.

StageTimeWhat happensResult
Entry briefing5 minutesrules of participation, the route, the right to stop the exercisethe group understands the boundaries and the stop signal
Five stations8 minutes eachaction, a short debrief, capturing the questionfive observable actions or decisions
Four transitions2 minutes eachchanging zones along the colour-coded routegroups do not meet in the same queue
Joint debrief7 minutesrecurring questions, owners of next stepsparticipants know where the observations will go

Groups start at different stations and move along colour-coded routes. The coordinator can see the capacity of each zone and moves the wave to a backup module if a passage or station is overloaded. The night shift needs full-fledged equipment and the opportunity to ask a question. A recording of the daytime lecture will not replace this.

Keep the opening short. The manager sets the working question of the day and confirms that risk reports will be reviewed. Give the main time to practice and conversation with experts.

Which stations to include?

Choose stations based on local hazards, job roles and participants' authority. Each module should answer one work-related question and end with an action, a question for an expert or a card for further work. Then the overall route remains clear, and the specialized team can verify the content. Spectacle must not create a new risk or replace professional work.

Table. Which stations to include?

The table collects the key points of the section: Station, Mechanics, What we record. Use it as a quick reference when preparing the event.

StationMechanicsWhat we recordRestriction
Find the hazardparticipant marks signs on a photo, diagram or training modelhazard, who is exposed, first questiondo not lead the group into an active hazardous area

Choose and check PPEparticipant selects a clean sample, looks for a defect and checks the fitinspection sequencedo not pass off a short demonstration as a full course
First responsesafety of the scene, calling for help, action on a mannequinsequence of actions according to the expert's checklistno training on people and no speed races
Evacuation routeon the plan, find two exits, the assembly point and how to raise the alarmpersonal action plando not block real exits
Report a weak signalspecify the location, hazard, possible consequence and urgent measurea card suitable for processingdo not look for someone to blame and do not disclose personal data
Manager's decisionchoose a priority from several observationsaction, owner, deadline, verification methoddo not promise a deadline without resources

The hierarchy of control measures prevents reducing the whole conversation to personal protective equipment. First, the team looks for a way to eliminate the hazard, replace the source or apply an engineering solution. Then it considers organizational measures and PPE. A decision from a training situation still needs to be tested in practice; this is done by the company's specialized team.

Rule out hazardous competition. Do not ask participants to perform cardiopulmonary resuscitation faster, lift more weight, work with flame, voltage, pressure or moving machinery. Demonstrations require safe models, de-energized stands and clear stop criteria.

Station card and team roles

A station card brings content, flow, and safety together on a single sheet. Write down the learning objective and the participant's action. Next to it, specify the duration, capacity, facilitator, and props. Separately, record the zone boundaries, the stop criterion, and the fallback option. The team checks the card during a rehearsal along the actual route, and a subject-matter expert confirms the content.

The occupational health and safety service is responsible for the content and professional boundaries. The facilitator explains the mechanics in plain language and keeps the pace. The route coordinator monitors queues and transitions.

The technical team is responsible for the stability of the stands, power, and cable runs. A single event manager makes the decision to pause or stop.

Don't make the facilitator pretend to be a health and safety specialist. The facilitator passes complex questions to a subject-matter expert and doesn't improvise from the stage. The registrar separately keeps participation data for the event and official records, if the employer provides for them.

Each station needs a backup plan and a clear trigger condition for it. For example, the power goes out, the mannequin fails, or the passage is overcrowded. The team knows in advance who announces the pause, where to move the group, and when the station can reopen. We covered the detailed contingency matrix in the article about the event crisis plan.

How to schedule shifts without queues?

Divide the audience into waves and give them different starting points. First calculate the real capacity of the tightest station, then check the transitions and time for questions. If a module accepts fewer people than arrive in a slot, a queue will form regardless of how good the navigation is. The wave size is set by the throughput of the tightest station.

The route color is repeated at registration, on the map, on signs, and on the group card. Leave time between slots for the transition and one question to the expert. The coordinator doesn't send the next group until the previous one has left the zone.

Don't put in the same wave all the employees without whom the site can't operate. Dispatchers, the emergency crew, the medical station, and key operators must remain available according to the company's rules. Contractors and guests need a separate route that doesn't replace mandatory clearance.

If the audience is large, offer several ways to participate: perform an action, watch a demonstration, or ask a question at a calm consultation station. This choice reduces pressure and helps include people with different physical abilities. The approach to parallel zones can be supplemented by our article about a corporate festival for employees.

Safety of the event itself

A safety day requires its own risk assessment, even if all the exercises take place on training rigs. The team checks the venue from setup to teardown. The checklist covers structures and power supply, people flows and transport, first aid, exits and communications. Every risk needs an owner and a clear action before opening.

Before opening, walk the route and confirm against the checklist: cables are protected, rigs are stable, real exits are clear, and any equipment used in the demonstration is switched off, locked out against accidental start-up and physically separated in line with the venue's rules. Every module has stop authority. HSE guidance helps you verify alarms, calls to the emergency services, crowd management, first aid and a single team channel.

Build accessibility requirements into the plan in advance. You need an accessible entrance and route, the option to do the exercise while seated, legible materials, good audibility, a text alternative to audio, and a way to communicate needs before the event. The World Wide Web Consortium's W3C guidance on accessible meetings and training provides a basis for checking.

This section does not replace a full venue plan. For the general framework, use our article on event safety. If the format turns into scored tests with a judging panel and winners, refer to the separate breakdown of a corporate professional skills competition.

How to measure the result?

For a single event, measure leading indicators: access to the route, completed actions, quality of reports, assigned decisions and feedback. Such a set shows the operation of the program and the follow-up process. The number of injuries and incidents is a lagging indicator and depends on many factors. Its change cannot be attributed to a single corporate day.

Table. How to measure the result?

The table collects the key points of the section: Level, Metric, What it shows. Use it as a quick reference when preparing the event.

LevelMetricWhat it showsWhat it does not prove
Accessshare of target groups that received their routeorganizational reachunderstanding of the material
Practicecompletion of an action according to the checklistresult in a training situationsustained behavior in the workplace
Employee voicenumber of actionable reports and questionsability to describe a problemrisk elimination
Responsereports with an owner and statusoperation of the process after the eventcomplete closure of all hazards
Qualityqueues, clarity, accessibility, stopsquality of organizationenterprise safety as a whole

The UK Health and Safety Executive (HSE) recommends looking beyond accident statistics and using leading indicators alongside lagging ones. For a Safety Day report, it is more useful to show what actions participants completed and what the company did with the observations. A high quiz score shows an answer at a specific moment, but does not confirm safe behavior in the workplace.

Do not compare shifts by the absence of reports. Silence may mean fear of consequences or an unclear channel. Before the event, appoint a person who will review the reports and pass them on to those responsible. Immediately determine the deadline for the first response and how to inform participants of the status.

Outcome and the next step

Occupational Safety Day works as a modular programme: one common framework, different routes and stations with an observable action. At Aventura, we combine the content of subject-matter experts with event logistics, the technical plan, navigation and the work of hosts. The employer handles mandatory training and occupational safety documents separately.

After the event, complete a short process:

  1. collect questions and observations;
  2. assign those responsible for the debrief and follow-up actions;
  3. give participants a clear status and the date of the next update.

It is better to build the finale around three points: what we take forward, who is responsible and when feedback will follow. Such a step is more useful than a general motivational speech.
