How to prepare an Investor Day: bring together the program, speakers, questions, venue, broadcast, and rehearsal into one working script.
A company Investor Day is a business meeting where management explains results, strategy, and plans, and the audience gets an opportunity to ask questions. The value of the format does not depend on the length of the presentation. You need aligned key messages, a clear program, a prepared conversation with the audience, and equally good access for in-person and online participants.
At Aventura, we build such a project at the intersection of content and event production. The company's team is responsible for the accuracy of information. We turn approved material into a script, prepare the venue and broadcast, rehearse speakers, set up registration, and coordinate the day of the event.

What does an Investor Day solve?
Investor Day helps a company bring important messages together into one consistent meeting, connect them with shared logic, and give the audience direct access to management. This format is needed for a detailed conversation: management explains the logic behind decisions, shows the connection between business areas, and calmly addresses questions that do not fit into a short press release.
The format is part of the overall investor relations calendar. The Moscow Exchange website has dedicated pages for such events and an investor calendar for 2026. The meeting complements reporting, presentations, and follow-up materials.
Before we start, we define one primary outcome for the audience. For example: to understand the company's priorities, to see the link between metrics and operational decisions, to get answers on the topics outlined in advance. If there are several outcomes, the program is divided into thematic blocks.
The script must not create new promises. Every slide, caption, moderator question, and speaker answer undergoes substantive approval within the company.
Roles and boundaries of responsibility
The company approves the facts and public wording. We are responsible for the program, script, venue, broadcast, and participant journey. This division establishes responsibility in advance: management retains control over the content, while our team turns the approved material into a meeting that is easy to watch, listen to, and discuss.
We assign roles before working on the script:
- заказчик утверждает цель, аудиторию и финальное решение по программе;
- руководство формулирует основные сообщения и отвечает на вопросы в своей зоне;
- команда по связям с инвесторами собирает содержание и календарь коммуникаций;
- финансовая команда проверяет показатели и терминологию;
- lawyers and disclosure officers align public messaging;
- the moderator manages the flow of the conversation, timing, and questions;
- the director ties together speeches, graphics, video, remote segments, and the broadcast;
- the technical team is responsible for sound, lighting, screens, recording, and backup;
- coordinators handle registration, speakers, the venue, and the online audience.
Article 30 of the law 'On the Securities Market' sets requirements for information disclosure by issuers. Investor Day does not replace mandatory procedures. We do not change the financial meaning and use only approved materials on stage.
In the project working file, every talking point and visual material has a designated owner. If the wording changes during rehearsal, it is sent back for approval. This keeps the script, presentation, handouts, and website version synchronized.
How to build a program without overloading it?
We build the Investor Day program around the audience's questions. First, we provide the general context. Then management explains what has changed, how it assesses the situation, and which steps it considers priority. After each major block, we leave room for clarifications so that the listener can check the logic and connect individual presentations into the big picture.
One of the working options looks like this:
The table summarizes the key points of the section: Block, Task, Who participates. Use it as a quick reference when preparing the event.
| Table. Budget without hidden blocks | Task | Who participates | What the audience gets |
|---|---|---|---|
| Suitable format | set the frame for the conversation | leader and moderator | meeting goal and program map |
| Results for the period | explain the dynamics without reading the report from the stage | financial executive | key takeaways and links to materials |
| Strategic directions | link plans to company decisions | business area leaders | logic of priorities and constraints |
| Operational part | show how strategy works in the business | function owners | clear examples of processes and projects |
| Questions and answers | address audience interest | leadership and moderator | direct answers within agreed boundaries |
| Conclusion | sum up the results and next points of contact | manager | list of materials and follow-up communications |
We break a long talk into short meaningful segments. Each has a key point, visual support, and a transition to the next speaker. The presentation does not repeat the speech verbatim: it shows the structure, diagram, term, or conclusion that is hard to retain by ear.
Q&A should not be left to a random remainder of time. It often gives the audience more value than another presentation. We determine in advance the duration of the block, the order of questions, and how to pass context to the speaker without a pause in the broadcast.
If there are many speakers and topics, we use the mechanics of a conference or forum, but we do not create parallel sessions without necessity. The investor must understand the big picture. Splitting into tracks is justified only for different audience groups with independent tasks.
Script and direction of the broadcast
The production script connects content with real time, the stage, and the broadcast. It includes the start and end of each block, speaker entrances, slide numbers, graphics, video, microphones, questions, moderator actions, and contingency. All departments read the document, so the wording in it is short and unambiguous.
We prepare the script after the program structure is approved. First, we mark the meaningful transitions. Then we add technical cues and check that the viewer understands what is happening without internal explanations from the team.
A useful unit of the script is a specific episode, not the general title of the talk:
- The moderator names the topic and the speaker.
- An approved title appears on the screen.
- The speaker delivers the key point.
- The graphics support the thesis but do not obscure the speech.
- The moderator captures the conclusion or asks a transition question.
- The director shifts attention to the next block.
We discussed the practice of preparing long programs in the article about the director's script for an event. For Investor Day, strict version control is added to the usual directing: only approved graphics go on air.
What questions to prepare in advance?
- expected and fully disclosed;
- complex, but permissible after substantive preparation;
- requiring clarification or a written response after the meeting;
- questions that the company cannot answer publicly.
Venue, broadcast, and accessibility
We choose the venue and broadcast based on the participation format and the audience journey. For an in-person meeting, you need good visibility, clear speech, smooth registration, and spaces for networking. Online requires dedicated direction, a stable connection, a clear broadcast page, and a working Q&A channel
In a hybrid event, two teams work from a single script.
- capacity and seating layout;
- acoustics, microphones and screen visibility;
- separate zones for speakers, press and the technical team;
- accessibility of the entrance, stage, restrooms and routes;
- primary and backup internet;
- ability to record without extraneous noise;
- conditions for equipment access and setup time;
- evacuation procedure and staff actions.
W3C's guide to accessible events recommends taking participants' needs into account in advance, providing materials in accessible formats, using microphones, and describing important visual information. At an investor day, the speaker explains the meaning of a chart, the moderator repeats the question into the microphone, and the team publishes the materials as a separate file and prepares subtitles or a text version of the recording.. For a distributed audience we use the mechanics of hybrid events. We run the stage and the online stream in sync, but different specialists with their own backup are responsible for the hall and the broadcast.
How to run the rehearsal and the day of the event?
We run the stage and online in a coordinated way, but different specialists with their own backup are responsible for the hall and the broadcast.
Such a run-through reveals contradictions in advance between the script, approved materials, and the technical plan.
- We open the registration page and the participant email on the phone.
- We walk through the in-person guest check-in and the remote participant connection.
- We check the final versions of presentations and titles.
- We launch every microphone, video, and remote connection.
- We rehearse entrances, transitions, and the Q&A block.
- We check how the director and moderator receive production cues.
- We simulate lost internet, a non-working file, and a speaker being late.
- We check the recording, subtitles, and sound from the hall.
- We log edits with owners and approval times.
- We lock file versions after final approval.
On the day of the event, the command center works through a single communication channel and a decision log. Some handle the speakers, some are responsible for the guests, some hold the broadcast
One person should not simultaneously greet management, coordinate the schedule, and solve a sound problem.
We apply similar production logic when preparing the company's partner summit. The difference with Investor Day is that any speaker's improvisation can change the public meaning, so moderation and content readiness are especially important.
Materials after the meeting
After Investor Day, the audience needs a polished set of materials, and the company needs a list of questions and commitments. We plan publication before the event: we define recording terms in advance, prepare the page structure, assign owners, and mark the files that need to be processed immediately after the broadcast. This shortens the gap between the meeting and the continuation of communication.
Typically, the package includes:
- the full recording and individual content segments;
- presentation or accessible version of key materials;
- text summaries without new unconfirmed wording;
- answers to questions that were not included in the broadcast;
- contacts for further communication;
We review the recording before publication. We remove technical pauses and private internal conversations from it. We check subtitles against terminology, names, and numbers. The page must open on a mobile device and provide direct access to materials without searching through a long feed.
the date of the next scheduled milestone in the calendar. For further use, it helps to have a separate. One broadcast can be turned into topic navigation and short clips, but each piece of content goes through content approval again.
