A client roundtable requires a narrow topic, a clear program, and strong moderation. We break down the lineup, confidentiality, and follow-up on outcomes.

A client roundtable can easily turn into a series of presentations by the host company. Then invitees listen but hardly exchange experience. When is a roundtable the right fit for a client's task?

The essence: A roundtable is suitable when a company needs an exchange of experience among participants with a comparable level of responsibility. The meeting has one subject, and each guest has the context for a substantive answer. If the task requires wide reach, a long training program, a product showcase, or internal decisions, another format will be more precise.

  • gather topics for future meetings;

If a company needs to make an internal decision, a better fit is a strategic session. If the goal is a series of personal contacts, a separate mechanism of scheduled meetings and communication is needed. The name of the format does not solve the task by itself.

Who should be invited to the same table?

The moderator should know which questions lead into a personal continuation of the conversation, which facts are confirmed by the client's representative, and where the conversation stops pending legal review.

Invitation and rules before the meeting

If the meeting takes place without press and without publishing a guest list, this must be stated directly.

The form only needs a name, job title, work contact, a question on the topic, and any special accessibility requirements. The set of fields depends on the client's process. Federal Law No. 152-FZ requires determining the purpose of processing in advance and not collecting excessive data. If data is collected based on consent, the person must clearly understand its purpose. Such consent is documented separately from other confirmations.

If the answer may reveal health information, the client separately determines the legal basis, access scope, retention period, and secure method of transfer.

Before the mailing, we check the entire route: the invitation, the form, and the confirmation. Then we review the calendar, the reminder, and the coordinator's contact. The guest does not have to guess the address, entry time, or access rules. Internal lists and contacts remain within the work environment and do not go into public materials.

How to build a roundtable program?

Give the main time to discussion. Keep a short block at the beginning for introductory remarks. The program leads from the rules and brief context to gathering positions, discussing one issue, and agreeing on outcomes. Each block is assigned an owner, a goal, and a way to conclude. No speaker should quietly turn the conversation into a product presentation.

In the World Bank's open guide, a round table is described as a moderated discussion that helps participants identify problems and outline cooperation. Below we offer our own prototype agenda. The team adapts it to the topic, composition, and venue conditions.

A short opening is easier to rehearse and shorten than a long report. We check whether each slide can be removed without losing the overall context. If the answer is yes, the roundtable does not need the slide.

Moderator brief

The moderator is responsible for the flow of the conversation but does not assign the right answer. Before the meeting, they receive the goal, a question map, role-based composition, disclosure boundaries, and a list of fact owners. On site, they engage quiet participants, interrupt repetitions, bring the group back to the topic, and check the wording of the overall summary.

At Aventura, we separate the moderator brief from the host script. The brief has no promotional lines for every transition. There is a working map:

  2. What participants have already received before the meeting;
  3. Which concepts need to be defined in the same way;
  4. Which topics cannot be discussed in this group;
  5. Who confirms the client's figures and facts;
  6. How to stop a long monologue;
  7. What can be included in the shared summary;
  8. Who approves the final document.

In the recommendations for the working sessions of the UN Peacebuilding Commission, questions are sent to participants in advance. The moderator involves people in the conversation, keeps track of time, and gathers what is said into shared conclusions. It is useful to keep the opening remarks short. We determine the specific duration during a run-through with the moderator and the team.

The moderator needs a separate communication channel with the coordinator. The coordinator handles access, technical, and timing issues without interrupting the conversation. The topic owner answers factual questions but does not take over control of the group.

How to choose a confidentiality mode?

The word “closed” does not explain the rules for using what is said. Before the meeting, determine whether participants can be quoted, the list can be published, recording can be made, photographs can be taken, and an anonymized summary can be sent out. The policy should be equally clear to guests, the moderator, the photographer, the client’s team, and those who will receive materials after the event.

The Chatham House Rule allows the information received to be used, but prohibits disclosing the identity and organizational affiliation of the speaker. Any group can apply it if the rule is agreed in advance. This differs from the off the record mode, in which the content is not intended for publication. The Chatham House Rule sets the working order of the group, but does not replace contractual terms if the meeting requires legal protection of confidentiality.

One mode can apply to the entire meeting or to a separate block. This must be indicated in the program. We do not treat silence as permission: we explicitly agree on the terms for quoting, photos, and publication of the list.

The space supports conversation

The room should help participants see and hear each other without a stage and constant through traffic. Check the accessible route from the entrance to the venue, audibility, privacy, microphones, lighting, and catering operations. Add hybrid connection only when a remote participant gets an equal place in the conversation.

We walk the guest journey in full: from drop-off and registration to the meeting room. We separately check the coffee area, restroom, and exit. A beautiful hall does not compensate for noise behind the wall or a queue at the door. The registration desk and photo zone should not block the main route.

W3C advises choosing an accessible venue from the outset and asking participants about special requirements in the registration form. Microphones are needed for questions from the room. Background music, catering setup, and loud ventilation prevent participants from hearing speech and tire out the group.

Seating depends on the room, but the principle is the same: faces are visible, the moderator is at the participants' level, and aisles remain clear, taking pulled-out chairs into account. For an intimate meeting, sometimes suitable business dinner for partners. Plan food service so that it does not derail the discussion.

What to capture after the meeting?

Results are evaluated against the original goal. Immediately after the meeting, you can check the quality of the composition, moderation, and usefulness of the conclusions. Check before opening the doors

  4. the technical lead checks sound, presentation, and backup;
  5. the team confirms the photo, recording, and attribution policy;
  6. the data officer checks the form, access, and retention period;
  7. the secretary shows a template for the overall summary without personal data;
  8. the client states the way to continue the conversation with each participant.
